
Studio policies
There are two top priorities within the Kate Rosen Voice Studio: Giving you the tools to build your own unique sound and helping you to do it for a lifetime. Your job is to take that knowledge and apply it to your personal voice training outside of our studio work.
Singers and Families in the Kate Rosen Voice Studio agree to:
Respect and adhere to the policies in this document.
Inform directors/coaches of their vocal studies and include lesson times in conflicts for any/all activities.
Adhere to a regular practice routine as outlined by their teacher.
Be good citizens of the world, treating other singers, teachers, artists, and humans with respect and kindness at all times, regardless of race, identity, orientation, creed, or religion.
Scheduling:
Each student signs up for a specific time slot that repeats weekly, supporting easy planning and consistent improvement. Each time your lessons slot occurs in a given month, that time is saved just for you! The only exceptions are Studio Closings, which are pre-determined at the beginning of each school year and reflected in the online MyMusicStaff calendar (access through katerosenstudio.com).
Payment:
Invoices are sent at the end of each month for the following month's lessons, and payment is due on or before your first lesson of the month. Tuition is billed regardless of attendance. This policy is consistent with those of sports teams, schools, and camps. Regular attendance is of the utmost importance to make improvement!
Payment is accepted by credit card (online, 4% service charge) or by cash or check. A fee of $20 will be assessed for late payments. Consistent late payments or failure to provide compensation may result in loss of your spot in the studio and loss of accrued reschedule credits.
Cancellations:
Lessons must be cancelled online, not verbally or by text/email. Log into your account and view the calendar to cancel a lesson.
Lessons cancelled with 48 hours notice are eligible for a reschedule. Lessons cancelled with less than 48 hours notice cannot be rescheduled. Please do not contact Kate to ask for exceptions to the time limits on cancellations - the website is available for your use at any time of day.
No refunds will be given for cancelled lessons under any circumstances. Please take care not to schedule events that will conflict with your lesson time. Students who frequently miss or cancel lessons may be dropped from the studio.
Openings online:
When a lesson is cancelled, that slot becomes available to be occupied by a rescheduled lesson. If you have cancelled with more than 48 hours notice, you are eligible to sign up for one of these slots (and your cancelled lesson slot becomes available for another student's use). Rescheduling is not offered for cancellations with less than 48 hours notice.
Rescheduling lessons:
Reschedules are not guaranteed, so please try hard to attend your regular lesson time each week. Reschedules cannot be used during your regularly scheduled lesson time in lieu of payment.
You can cancel lessons and reschedule on the website. If there isn't an opening available that works for you, check back frequently for updated availability. Open lessons close 24 hours before the lesson time, to ensure that I can be prepared for your lesson. To support this system working smoothly, please mark absences in advance.
MyMusicStaff terminology:
On MyMusicStaff, the service used by the studio for scheduling, the reschedule opportunities are called Make-Up Credits; these terms are used interchangeably in this document.
Teacher absences:
If the instructor needs to cancel a lesson, the lesson will be rescheduled at a mutually agreed-upon time. If this is not possible, a full refund of the lesson price will be issued.
Weather:
If the weather is such that it becomes unsafe to travel, an online lesson will be offered via Zoom.
Illness:
Please stay home from your voice lesson if you are contagious or if you have lost your voice completely. If you’re just feeling a little sick, come on in. There is still a lot we can work on! Cancellation guidelines for illness are the same as usual; see above!
Punctuality:
Let me know if you will be late to your lesson. If I have not heard from you 15 minutes into your lesson time, your time for that day is forfeit. However, if you get in contact with me, I will be happy to wait and provide you the portion of your lesson slot that you are able to attend.
Stopping lessons:
If you choose to stop taking lessons, 30 days notice is required. If you choose to stop attending lessons before 30 days have elapsed, remaining tuition will still be due and tuition will not be refunded. Upon termination of weekly lessons, whether by withdrawal by the student or dismissal by the teacher, all accrued make-up credits will be void and no refunds will be issued.
Your lesson time can’t be held if you are not enrolled, but if you need to drop lessons for a period of time and come back, you can choose from available times when you return.
What if I don’t get a rescheduled lesson?
If you are concerned that you may be charged for services not rendered, please be assured that your tuition is always working for you. I spend a great deal of time outside of lessons planning, choosing repertoire, answering correspondence, and attending teacher workshops. I kindly remind all students and families that—between recital rehearsals, recitals, master classes, and studio events—students receive more professional time than is actually paid for.
